CMS Facility Usage Policy

Philosophy
The Board of Education of the Clovis Municipal Schools recognizes an obligation on its part to make school facilities available for community use when such use does not conflict with the educational program and co-curricular activities of the schools.  The Board of Education delegates to the Superintendent of Schools and the Superintendent of Schools' staff, the responsibility of scheduling school facilities for public use in accordance with the policies of the Board of Education.

Making Arrangements

  • Facilities will not be made available to outside groups during the school day or when they conflict with a school activity.
  • Arrangements for after hours use of school facilities must be made, in person, through the Maintenance Department.        
  • Arrangements for use of school facilities should be made as far in advance of the activity as possible, preferably two (2) weeks before.  A request for the use of a school cafeteria must be made at least two (2) weeks in advance to receive consideration. 
  • Changes in the scheduling of school facilities must be reported to the maintenance office as soon as possible.  No changes will be made after 12:00 noon on the last day prior to the scheduled program.
  • Payment for facility use and for custodians is made to the maintenance office.  Payments are never to be made directly to custodians.  "Tipping" of employees on duty is neither expected nor permitted.
  • The School District will only rent areas appropriate for the group, activity or program.         
  • Facilities will not be rented, leased or used by organizations and/or individuals whose activities, games, and/or entertainment include domesticated or circus (trained) animals, nor those which may be harmful, detrimental or destructive to any part of the facility.
  • School equipment cannot be loaned/leased for use outside the school facility without permission from the Deputy Superintendent of Operations.
  • The use of any concession stand is reserved for the school.  No food will be served on school grounds without first meeting requirements set out in other sections of this policy.
